Patent Administrator
We are looking for a Patent Administrator to join our patents team at Swindell & Pearson Ltd, based at our head office in Derby.
This is a fully office-based role.
Swindell & Pearson is a legal services firm specialising in intellectual property law. Our patents team helps clients obtain, defend and enforce patents in the UK and overseas. Our clients range from small businesses and universities to international companies, including well-known household names.
This is a specialist administrative role. You do not need previous patent administration experience, and you do not need to have worked in legal services before. Full training will be provided by our experienced patent administrators and patent attorneys.
What matters most is that you are accurate, organised, careful with detail, and willing to learn detailed procedures over time.
About the role
You will work closely with our patent attorneys, helping them to provide excellent service to their clients and to manage their work efficiently and accurately. Your work will include:
preparing forms for filing patent applications at the UK Intellectual Property Office and European Patent Office;
sending instructions to overseas patent firms in relation to foreign patent applications;
entering and monitoring deadlines in our deadline management system;
dealing with administrative queries from foreign patent firms and patent offices;
processing incoming emails and preparing outgoing emails;
sending reminders to clients;
updating time recording and work-in-progress records;
preparing and sending invoices;
occasional audio typing.
This is a busy role with varied work and plenty to learn. Patent administration is not something most people can pick up in a few weeks, so we are looking for someone who is patient, thorough and happy to build specialist knowledge over time. We all undertake a wide range of tasks, from filing patent applications to practical office organisation.
About you:
You may already have administrative experience, or you may be returning to full-time work after a career break. You may also be looking for a stable, long-term administrative role in a friendly, professional environment.
You will need:
strong attention to detail;
excellent spelling and grammar;
the ability to follow procedures carefully;
good organisation and prioritisation skills;
good working knowledge of Microsoft Office, especially Word and Outlook;
confidence handling emails and online forms;
a calm and methodical approach to busy workloads and a willingness to keep learning.
A minimum of GCSE English Language at grade B/6, or equivalent, is required, along with GCSE Maths at grade C/5 or equivalent.
