St Catherines School seeks to appoint to start in July or August 2022, PA to our Director of Studies and Office Administrator. St Catherines is a selective academic girls school in the Independent sector; it is a Church of England Day and Boarding School, with 950 pupils split over two sites. The School is situated in a 25-acre site in the village of Bramley, 3 miles south of Guildford.

PA to Director of Studies and Office Administrator

The role will be split 50/50, reporting to the Director of Studies for the PA aspect of the role and the Office Manager for the Office Administrator aspect of the role. The postholder will be based primarily in the School Office. An ability to work on his/her own initiative, to take direction from the relevant line managers, and to prioritise effectively will be very important.

MAIN DUTIES

PA to Director of Studies
Collating papers and keeping accurate records for internal meetings
Taking and typing up minutes of meetings, including Governor meetings
Liaising with parents, pupils and staff to make appointments
General typing of letters and internal documents, including being competent in mail-merge
Administration for Academic handbooks
Providing administrative support to the Exams Officer on an ad hoc basis during the public exam result season, including co-ordination of results days for A-Level and GCSE
Co-ordination of routine tests such as MidYis, YELLIS and GL Assessment
Co-ordination and administration of subject choices for 4 separate year groups and to keep this information updated to support timetabling
Collation of information for the annual New Girls document
Collecting and processing data, such as predicted grades for UCAS, grade cards and AS, GCSE and University applications
Administration for, and attendance at, Speech Day (annual event, usually first Saturday in July)

School Office

Sorting/distributing post to pupil/staff and franking outgoing mail
Pupil attendance on SIMs (twice daily)
Coach bookings for school trips
Using SIMs database
Answering the telephone and greeting visitors
Corresponding with parents via the ClarionCall system
Monitoring and dealing with several office email in-boxes

TERMS OF EMPLOYMENT

Salary: up to £35,000 dependent upon relevant experience
Working Hours: 8am to 5pm with half an hour for lunch during term time and 9.30am to 4pm with an hour for lunch during the holidays which includes the 3-day period between Christmas and New Year when the whole School is closed
Holiday entitlement: 5 weeks paid holiday per annum plus statutory bank holidays
Lunch is provided daily without charge and all staff enjoy access to the Schools leisure facilities for a small one-off joining fee: pool, tennis courts, squash court, fitness suite - when these are not in use by the girls

Notice

1 month during probationary period (which is 6 months). Once the appointment is confirmed both parties are required to give at least 3 months notice on either side.
